How it works

From one request to proof of delivery.

A buyer asks once, and the order runs through four stages — Check, Match, Move, Prove. Two AI agents prepare the request and compare the offers, a review team approves every deal, and the driver’s phone closes the loop with proof. Here is how Copperbelt is intended to work.

Proposed flow — not yet operating

Step by step

Ten steps, four stages, one record.

Each step adds to the same order record, so everyone involved can see what has happened, who did it and what was agreed.

Check

The buyer asks, and the software prepares the request.

  1. Buyer → Copperbelt

    The buyer sends a request

    What, where and when

A mining operator says once what it needs, where it must arrive and by when — with any drawings or documents — instead of starting another email chain.

  2. Copperbelt · AI agent 1

    AI agent 1 prepares it

    Gaps found, details requested

The first AI agent structures the request, asks for anything missing and picks out the suppliers whose capabilities and locations fit.

Match

Suppliers offer, the software compares, and people approve the best match.

  1. Copperbelt → Supplier

    Suitable suppliers are invited

What, when and the general area

Only suppliers who could deliver see the opportunity. The exact delivery site stays private until a deal is approved.

  2. Supplier → Copperbelt

    Suppliers make offers

    Price, timing and documents

A supplier answers only where it can deliver: price, availability, lead time, specifications and the company documents the deal requires.

  3. Copperbelt · AI agent 2

AI agent 2 compares the offers

    A shortlist, with its reasons

The second AI agent checks that every offer is complete, compares it with the request and flags missing or inconsistent documents. It explains its shortlist; it does not decide.

  4. Copperbelt · Review team ↔ Buyer and Supplier

    People approve the match

Both sides told; calls, terms, sign-off

Buyer and supplier hear that a match has been found. The review team checks the evidence, calls both sides to confirm price, quantity and timing, then approves, asks for more or rejects — and the decision is recorded with who made it and why.

Move

A driver is assigned and collects the goods.

  1. Copperbelt · Review team → Driver

    A driver is assigned

    Pickup, destination and timing

The review team assigns a driver by pickup point, destination, availability and cargo. Only now is the exact delivery site shared.

  2. Supplier → Driver

    The driver collects the goods

    Checked, photographed, logged

At the supplier’s yard the driver checks the goods against the order, takes a photo and logs the pickup — so nobody has to call to ask whether it left.

Prove

Delivery is confirmed, and the proof stays on record.

  1. Driver → Buyer

    Delivered to the buyer’s gate

    Receipt confirmed on arrival

Updates are sent along the way — queued when there is no signal — and any delay or damage is reported with a photo. At the gate, the buyer confirms receipt.

  2. Driver → Copperbelt

Proof goes back into the record

    Photo, signature, quantity, time

Proof of delivery joins the order’s record with every update and decision. Each party is told what its role allows, and the next order starts from a track record.

The AI agents, up close

The evaluation engine reads the file, shows the evidence, and hands the decision to a person.

AI agent 1 prepares each request (Check). AI agent 2 compares the offers and flags what is missing (Match) — here is how it would read a supplier’s documents.

Planned capability — not yet built or deployed
  1. 1

    Extract

Pull structured fields out of registration papers, licences, tax records, bank letters and contracts.

  2. 2

    Cross-document comparison

Compare names, numbers, dates, addresses and signatories across every document and against the offer.

  3. 3

    Weighted readiness score

Apply a configurable weighting. Missing evidence lowers confidence; it is never scored as a pass.

  4. 4

    Evidence-linked report

Every statement links back to the page and field it came from, so a reviewer can check it in seconds.

  5. 5

    Routing

Ready · Needs information · Further verification · Management review.

A person makes the decision. A high score is a summary of evidence, never an approval. No score authorises a payment, a contract or any other financial commitment automatically.

Principles for AI

  1. 01

    A person makes the decision.

Accountable, authorised people decide. The platform reads, compares and flags — and shows its work so they can check it.

  2. 02

A score is a summary, never an approval.

A high score summarises the evidence. It never approves anything, and it is never proof on its own that a document is authentic.

  3. 03

Missing evidence is never a pass.

Gaps lower confidence and are routed for follow-up. They are never quietly scored as acceptable.

  4. 04

    No automatic commitments.

No score authorises a payment, a contract, credit or any other financial commitment automatically.

Clear boundaries

What Copperbelt is not.

Being clear about limits is part of being trustworthy. Copperbelt is intended to support the people and processes that already carry responsibility — not to replace them.

  • Not a bank, lender, escrow or payment provider
  • Not a customs authority, regulator or licensing body
  • Not a replacement for legal due diligence or contracts
  • Not a guarantee of any commercial outcome
